Someone messaged, called or walked in? Add them here so nobody slips through. They go straight into the pipeline with a reply ready to send.
What's still to be paid by clients who've booked, placed on the date of their next session. Deposits and balances marked paid on Sessions are taken off.
Counted from the date each client first came in (enquiry, or consultation if they came straight to one). Booked means the deposit is paid or a session is done. Values use your treatment prices after any offer.
Clients, bookings and thank-yous count themselves. On a client's Consult page, pick the partner under "Sent by a partner", or choose "Barber partner" under Heard about us and type the barber's name in Details: the app links them either way. A thank-you is owed once that client's session 3 is done.
Tap a partner to update visits, cards and notes. Changes save as you go.
Every message is written for where this client is in their treatment, using their own dates, shade and price. WhatsApp opens with the message ready for you to check and send. Email saves a draft in your Gmail. Nothing is sent without you.
Paste their message from WhatsApp, Instagram or Facebook. Claude writes a reply in your voice using this client's plan, prices and dates. Check it before you send. With no client open, it answers as a new enquiry.

Hairline shapes, marked out the way you'd draw them on. Tap one to choose it, then pick the front edge finish above.
Measure with your callipers once the hairline is drawn on and the client has agreed it. These are saved with the client so you don't need to measure again. The photo markup is only a guide and isn't used here.
Tap Save at the top to keep them with this client.
The ticks from your consultation record. The health answers stay on the paper consent form, not in here.
I take a few photos so we can plan your shade and hairline properly. They're for your record only, and I'll only ever use them anywhere else if you sign to say that's OK. Is that alright?Tick Before photos taken above.
Can you hold this flat on your cheek, just under your eye? It tells the app the true colour and size, so my lights don't trick us.Front photo: card on the cheek. Temple: on the cheekbone. Crown: flat on top, to one side.
Your hairline sits about four fingers above your brow, the same as the length of your nose. The sides line up with the ends of your eyebrows. Let's see which shape suits you.Flick between the three designs and adjust the height with them.
This is an illustration of what we're aiming for once everything has healed. Real skin heals a little differently, which is why we build it up over three sessions.Use Compare to slide between before and after.
This is the line we'll work to. Happy with the height and the corners?Only book session 1 once they've said yes.
Hold a plain white card against the scalp in the same light. Take one photo with the card, bare skin and hair all in shot, then tap each one. Bare scalp is best. If none shows, include the forehead just below the hairline.
The tool finds the card, skin and hair by itself. It uses bare scalp if it can see some, otherwise the forehead. If a circle lands in the wrong place, tap the right button above and then tap the right spot. The photo is never saved. Auto-find sends it to Claude, on your account, only to find those three spots.
Based on their skin type, hair tone, hair type, how they wear it, their scalp and the treatment. Change these on step 1.
Session 1 is the lightest, session 2 builds the real density one step darker, and session 3 lands on the final card match for this client's skin tone. Tell the tool how the last session healed and it adjusts the next mix.
1. Take a photo of the treatment area (hairline, temples, crown or full scalp) with the white card in shot. 2. Tap Set scale, then tap each end of the white card. 3. Tap Dot now and go over the treatment area with your finger, up to the agreed hairline. Pinch with two fingers to zoom in for the hairline and temple points. 4. Tap a session to see the healed impressions, or tap Compare and slide between before and after.
Take a photo of the area to treat, in good, even light. The client's head should fill most of the frame.
Marked out the way your training does it. Tap Mark hairline, then tap between the eyebrows (point 1's centre point) and the base of the nose. The points then place themselves up the forehead. The nose length is your calliper setting: the front point goes that far above the centre point, and the callipers opened at 45 degrees give the other four points. The side profiles run straight up through each pair and never change. The hairline is drawn from the centre out to where it crosses them (the cross-sections). Then use Check against eyebrow tails and Check with eye corners to confirm it's symmetrical. Drag the front point or a cross-section to adjust, then tap Fill behind line.
Plain white and grey areas (the card, a T-shirt) are found automatically and shown hatched in red while dotting. Once the hairline is marked, nothing above the eyebrows is blocked. If shine on a bald scalp still gets hatched (crown photos, say), untick this box. Use Remove dots for hands or anything else.
This is an illustration to help the client picture the result. It uses their pigment, your session mixes and needles, and a natural, random impression pattern. Healed impression sizes per needle are typical figures, and real results vary from skin to skin. The photo is only kept if you tap Save preview to client: it's then stored with this client's record, with the hairline marks and dotted area, so you can open it again at the next session.
Same light, same angle, same distance every time. Pick the stage and the view, then take the photo. If there's an earlier photo of that view, it shows faintly over the new one so you can line them up before saving. Photos are stored with this client's record.
Photo saving works when you open the app from your Claude chat. Photos you've already saved still show below.
The faint image is the last photo. Drag the new photo to line them up, pinch with two fingers to size or turn it, or use the buttons. Then save.
Pick a healed photo. Claude looks at it next to the earlier photo of the same view and this client's plan, then suggests what to focus on next session. Always check the scalp in person too.
Drag across the photo to slide between them. Photos lined up when they were taken match up best.
Turns the two photos above (left = before, right = after) into a branded before and after for Instagram, Facebook and your website, with a caption in your voice. Only for clients who agreed in writing.
Pigments, needles and anything else you use. When you tick a session done, the pigment it used (from the mix, in ml) and its needle cartridges come off here by themselves, from the batch in the session log. Tap − and + when you restock or bin something. Low stock, and anything expiring within 30 days, shows on Today.
If a supplier ever recalls a batch, type its number here to see every client and session it was used on.
Extra parts of mixing solution on top of the card ratio. Session 1 is the lightest, session 2 is one step darker, and session 3 is the exact card match (+0). For example, a card ratio of 1 : 4 gives 1 : 6, then 1 : 5, then 1 : 4. Change these to suit your training.
When this is on, your Google script sends the routine messages you tick below by itself, between 8:30am and 8pm, Monday to Saturday (new-enquiry replies go any time). Follow-ups, deposits, prices and win-backs always stay as drafts for you. You're emailed about every new enquiry either way. Up to 40 automatic messages a day.
To check your bottles, count how many drops of mixing solution fill 1 ml in a syringe. Most are about 20.
The shade match and session mixes are a guide to support your judgement, not a replacement for it. The skin reading uses ITA° (Chardon scale) and the hair reading uses L*, both after the white-card correction. Check against the printed Quantum card and a patch test. Saved records hold the plan, the session log and your notes. Health answers stay on the signed paper form.
